Completing work, practicum, and clinical requirements

Programs require students to complete non-academic requirements before participating in work-integrated learning (WIL) experiences, such as clinical placements, co-op placements, field experience, practicums, and work experiences.

Review your program's Work, practicum, and clinical requirements. If these requirements appear on your MyQuest To Do List, you must complete them before participating in your placement experience.

All documents must be submitted through MyQuest. For instructions on submitting documents, refer to the How to Upload Documents Guide (PDF).

Police Information Check (PIC)

Police Information Check (PIC)

A Police Information Check (PIC) is a background screening completed through a police service that identifies if an individual has a criminal record, pending charges, or active judicial orders.

Most students must provide a PIC before participating in a work-integrated learning (WIL) practicum, clinical, or field placement. Some programs also require a Vulnerable Sector Check (VSC).

Important: Your PIC must be obtained directly from the police service or RCMP detachment responsible for the area where you live. Police checks obtained through third-party or online screening vendors are not accepted. Processing times can take 4 to 8 weeks, so apply as early as possible.

To complete your Police Information Check requirement

  1. Confirm whether your program requires a Vulnerable Sector Check (VSC).
    1. Review your program’s work, practicum, and clinical requirements to confirm.
    2. If a VSC is required, request it at the same time as your PIC.
  2. Apply for your PIC
    1. Apply through your local police service or RCMP detachment as soon as possible to meet the deadlines outlined in your individual To Do List.
    2. Students living in Edmonton, Beaumont, Sherwood Park, St. Albert, Morinville, Fort Saskatchewan, Leduc, Spruce Grove, and Stony Plain may apply through the Edmonton Police Service online
    3. Indicate that you are a student completing a practicum or work-integrated learning placement.
    4. Include your program name (e.g. Practical Nurse, Early Learning and Child Care, etc.)
  3. Save a copy of your PIC.
    1. PICs may be issued as either a paper document or a digital document.
    2. If you receive a digital PIC, download and save a PDF copy immediately.
    3. Access to digital PICs may expire after 30 days.
  4. Upload your PIC
    1. Submit your PIC using the Student Document Attachment self-service option on your MyQuest Student homepage.

Key deadlines

  • PICs must be dated within six (6) months of the start date of your work-integrated learning placement.

Police Information Check with concerns identified

  • If your PIC identifies a criminal record or other concerns, is known as an unclear PIC.
  • An unclear PIC may affect your ability to participate in a practicum, clinical placement, or work-integrated learning experience. This could impact your ability to complete your program, graduate, or obtain professional licensure in your field.
  • If you have concerns about your PIC:
    • Contact your Career Coach or wiltodolist@norquest.ca as soon as possible.
    • Discuss the potential impact before enrolling in your program.
    • Review any requirements established by professional licensing or regulatory organizations related to your field.

Important information

  • Students are responsible for all costs associated with obtaining a PIC.
  • Students under the age of majority cannot complete a Vulnerable Sector Check. Contact your Career Coach or wiltodolist@norquest.ca if this applies to you.
Intervention Record Check (IRC)

An Intervention Record Check (IRC) confirms whether an individual has a record with Alberta Children’s Services related to child intervention services. Some programs require an IRC before students can participate in a work-integrated learning (WIL) practicum, clinical, or field placement.

Intervention Record Checks must be dated within six (6) months of the start date of your practicum, clinical, or work-integrated learning placement.

To complete your Intervention Record Check requirement

  1. Request an Intervention Record Check application form from the appropriate Alberta Children's Services office.
    1. Students in the Edmonton area can email ircedmonton@gov.ab.ca
    2. Students outside Edmonton should contact their regional Children's Services office.
  2. Complete the application and submit it to Children's Services as soon as possible to meet deadlines outlined in your individual To Do List.
    1. Follow all application instructions carefully.
    2. You may be required to provide copies of two pieces of identification.
  3. Upon completion, Children's Services will email your IRC directly to you.
  4. Save a copy of your completed IRC.
  5. Upload your IRC using the Student Document Attachment self-service option on your MyQuest Student homepage.

Keep a copy of your IRC for your records.

Important information

  • Apply for your IRC at least three (3) months before your To Do List deadline.
  • Processing times can take four (4) to eight (8) weeks.
  • Your completed IRC must be submitted through MyQuest at least 45 days before the start of your clinical, practicum, or work-integrated learning placement.
  • IRCs must be dated within six (6) months of the start date of your placement.
Immunizations

Obtaining immunization records, completing testing, and updating vaccinations can take several weeks. Some programs require immunization documentation to be submitted at least 60 days before practicum, so it is important to start the process as early as possible.

To complete your Immunization requirement

  1. Review the immunization requirements for your program
  2. Obtain your immunization records and determine whether any additional testing, vaccines, or boosters are required as soon as possible to meet deadlines outlined in your individual To Do List.
  3. Complete any required immunizations, testing, or health professional documents.
  4. Submit your completed immunization documentation using the Student Document Attachment self-service option on your MyQuest Student homepage.

Keep copies of all immunization records and documentation for your records.

Important information

  • Immunization requirements vary by program
  • Obtaining immunization records and completing required vaccines or testing can take several weeks
  • Some programs require immunization documentation to be submitted at least 60 days before practicum.
  • Students are responsible for any costs associated with obtaining immunizations, testing, or documentation
  • If required immunizations or documentation are incomplete, a placement site may deny access to your practicum, clinical, or work-integrated learning placement.
  • Keep copies of your immunization records and supporting documentation for your personal records

Co-op work permit (International students only)

International students must obtain a co-op work permit from Immigration, Refugees and Citizenship Canada (IRCC) along with a study permit before beginning any work-integrated learning or community service learning component of their program.

When to get your co-op work permit

If your program includes a mandatory work placement and/or a community service learning component, you should include a request for a co-op work permit within your initial study permit application. After approval, you will be issued both study permit and a co-op work permit at the first port of entry to Canada. If for some reason you did not obtain a co-op work permit when you arrived in Canada or in case you transferred from another school, you will need to submit an inside Canada online application for a co-op work permit as soon as possible.

Workplace Hazardous Materials Information System (WHMIS)

Workplace Hazardous Materials Information System (WHMIS)

WHMIS is Canada's national hazard communication system. It provides essential health and safety information for individuals who work with, handle, or may be exposed to hazardous products in the workplace, laboratory, or clinical environments.

WHMIS certification is valid for three (3) years from the date of course completion.

To complete your WHMIS requirement

  1. Enrol in and complete course XBUS 1017 as soon as possible to meet the deadlines outlined in your individual To Do List.
  2. Your certificate will be emailed to your NorQuest email address approximately one (1) week after you successfully complete the course.
  3. Download or save a copy of your certificate.
  4. Upload your certificate using the Student Document Attachment self-service option on your MyQuest Student homepage.

Please keep a copy of the certificate for your records.

Important Information

  • WHMIS certification is valid for three (3) years from the date of completion.
  • Keep a copy of your certificate for your personal records.
  • If students choose to complete WHMIS training through another provider, students must use one of the approved providers.
Basic Life Support (BLS) / CPR

Human Blood-borne Pathogen Exposure (HBPE) provides a comprehensive overview of safe work practices in environments where students may be exposed to blood-borne pathogens.

HBPE Certification is valid for three (3) years from the date of course completion.

To complete your HBPE requirement

  1. Enrol and complete course XHLT 1023 as soon as possible to meet the deadlines outlined in your individual To Do List.
  2. Your certificate will be emailed to your NorQuest email address approximately one (1) week after you successfully complete the course.
  3. Download or save a copy of your certificate.
  4. Upload your certificate using the Student Document Attachment self-service option on your MyQuest Student homepage.

Keep a copy of the certificate for your records.

  • HBPE certification is valid for three (3) years from the date of completion.
  • Keep a copy of your certificate for your personal records.
  • If students choose to complete HBPE training through another provider, students must use one of the approved providers.

Some programs need you to complete the HBPE (Human Blood Borne Pathogen) course. Your HBPE certificate is good for three years.

  1. Please enrol and complete course XHLT 1023 as soon as possible in order to submit your certificate on time based on your individual To Do list deadlines.

  2. Please upload this document using the self-serve Student Document Attachment tab on your MyQuest Student homepage.

Please retain a copy of the certificate for your records.

If you obtain your certificate outside of NorQuest, please email a copy of your HBPE certificate to Healthtodolist@norquest.ca.

AHS and Covenant Health Information & Privacy online learning modules

Before starting a practicum, students must complete either the Alberta Health Services (AHS) or Covenant Health Information & Privacy Online Learning Module. The training content is the same, so only one module needs to be completed.

In addition to completing the training, students must sign and submit the required confidentiality forms for both AHS and Covenant Health.

To complete your Information & Privacy requirement

  1. Complete either the AHS Information Privacy & IT Security Awareness Learning Module or the Covenant Health Confidentiality, privacy, and IT security training Learning Module as soon as possible to meet deadlines outlined in your individual To Do List.
  2. Download or save a copy of your completed training documentation, if applicable.
  3. Review and sign both the AHS and Covenant Health confidentiality forms.
  4. Upload both signed confidentiality forms using the Student Document Attachment self-service option on your MyQuest Student homepage.

Keep copies of your completed documents for your records.

Important information

  • Only one Information & Privacy Online Learning Module must be completed (AHS or Covenant Health).
  • Both AHS and Covenant Health confidentiality forms must be signed and submitted.
  • Upload all required documents through MyQuest Student Document Attachments.
  • Do not email copies of these documents directly to AHS or Covenant Health.
  • Keep copies of all completed documents for your personal records.
HSPNet

HSPNet is a secure health sciences placement management system used to coordinate student practicum and clinical placements.

To complete your HSPNet requirement

  1. Download and complete the HSPNet Consent Form as soon as possible to meet deadlines outlined in your individual To Do List.
  2. Complete the form using your legal name exactly as it appears on your government-issued identification.
  3. Sign the form by hand or verified e-signature.
    • Typed signatures are not accepted.
  4. Upload a scan or clear photo of the completed form using the Student Document Attachment self-service option on your MyQuest Student homepage.

  • Use your legal name when completing the HSPNet Consent Form.
  • Upload a clear scan or photo of the completed and signed form.
  • Keep a copy of the form for your personal records.
It’s Your Move

It’s Your Move is an injury prevention program created by Alberta Health Services. The training consists of a two-hour online theory component and a two-hour lab component.

This requirement applies to students in the Practical Nurse (PN), Practical Nurse for Internationally Educated Nurses (PNIEN), and Advanced Education in Ortho for LPN program.

Important information for PN and PNIEN:

It’s Your Move is completed for the first time in orientation for NPRT 1001 clinical. Your program area will provide additional information about registration and completion.

To complete It’s Your Move requirement

  1. Enroll in and complete XHLT 1070 as soon as possible to meet deadlines outlined in your individual To Do List.
  2. Complete both the online theory module and in-person lab component.
  3. Upload your proof of completion using the Student Document Attachment self-service option on your MyQuest Student homepage.

Keep a copy of your completion documentation for your records.

N95 mask fit testing

An N95 mask fit test is a standardized procedure that verifies your specific N95 respirator creates a tight, gap-free seal against your face. It helps ensure the respirator provides the expected level of protection by minimizing air leakage around the mask seal.

N95 Mask Fit certification is valid for two (2) years from the date of completion.

To complete your N95 mask fit test

  1. Book and attend an N95 Mask Fit Testing appointment as soon as possible to meet deadlines outlined in your individual To Do List.
  2. Download or save a copy of your certificate upon successful completion of the fit test.
  3. Upload your certificate using the Student Document Attachment self-service option on your MyQuest Student homepage.
    1. If you completed your mask fit testing through NorQuest College, you do not need to upload your certificate to MyQuest, the WIL Nurse will update your MyQuest.

Keep a copy of the certificate for your records.

Important information

  • NorQuest College provides one N95 mask fit test at no cost to students.
  • If your fit test documentation is lost or your certification expires, you will be responsible for obtaining a new fit test at your own expense.
Clinical Identification Card

Students participating in a clinical placement as part of a Health program may be required to obtain a printed Clinical ID for identification at their placement site.

Complete your Clinical ID requirement

  1. Review the Clinical ID section of NorQuest’s ID Cards webpage for instructions and eligibility requirements.
  2. Request your Clinical ID Card well in advance of your first clinical placement
  3. Pick up your Clinical ID Card from the Office of the Registrar.
  4. If you live outside the Edmonton area, contact info@norquest.ca to arrange alternative distribution.

Keep your Clinical ID Card throughout your program, as it may be required for future clinical placements.
